How it works

In one paragraph: stripped of the job titles, this is a repeating weekly loop — read what your systems already produce, normalize it, put it on one page against the plan, identify the two or three things that actually moved, have an operator review it, run the management call from a written agenda, and close the loop the following week. Most of those hours are reading and formatting, which is why it became affordable to outsource. The judgment is the part that stays human.

1. Read what already exists

Your systems are already producing nearly all the raw material: rent roll and box score, or cost codes, labor hours and billings. Nothing new has to be created and no software has to change. Read-only exports are enough.

2. Normalize it

Every platform labels the same facts differently. The system maps them to one consistent format, which is what makes week-over-week and job-over-job comparison honest instead of approximate.

3. Put it on one page against the plan

Budget versus actual, this week versus last, job versus bid. One page, roughly twenty minutes to read, designed to be read before a management call rather than after one.

4. Find the two or three things that moved

Most weeks nothing meaningful changed. The discipline is being able to say that with confidence rather than by assumption, so the weeks that do matter stand out.

5. An operator reviews it before you see it

Every report. A draft that nobody signed off on is a report nobody is accountable for.

6. Run the call from a written agenda

Five to eight items, each tied to a number that moved, sent before the call. Then last week's action items, by name and date, closed or not closed.

7. Close the loop next week

This is the step almost everyone skips and the one that actually changes behavior. An action item without a name and a date attached is a wish.

Roughly how long it takes

Four to eight hours a week for a business in the few-hundred-unit or few-million-revenue range. Most of that is reading and formatting rather than judgment, which is exactly why a system can absorb the bulk of it and why the price lands where it does.

See it against your own numbers.

The Operations Audit runs this loop on your last three months and returns the five most expensive gaps with the arithmetic shown. Ten business days, $1,500, credited in full toward any install.
